1. Description of services
Vibe Van Adventure Tours/Jeffrey’s Bay Adventures is a business in the tourism and travel industries and provides adventure activities.
2. Delivery policy
Subject to availability and receipt of payment, requests will be processed within 2 days and delivery confirmed by way of email.
3. Bookings and Cancellation Policy:
Booking and Payment Terms:
A non-refundable deposit of 50% of the total tour cost is required to secure your place.
The full balance is due no later than 60 days before the tour start date.
If full payment is not received by the due date, your booking may be cancelled and the deposit forfeited.
Cancellations by the Customer:
Cancellation Notice Given, Refund Eligible
61+ days before departure, Full refund minus deposit
31–60 days before departure, 50% refund of total cost
15–30 days before departure, 25% refund of total cost
0–14 days before departure, No refund
All cancellations must be submitted in writing via email to bookings@vibevan.co.za or planafrica9@gmail.com
Changes by the Customer:
Changes to travel dates, participant names, or other itinerary components may be requested up to 30 days before departure, subject to availability and an additional fee.
Substitution of travellers may be possible if arranged within the deadline and approved by the operator.
Cancellation by the Parties:
We reserve the right to cancel the tour for reasons including but not limited to:
Insufficient bookings (minimum participants not met)
Force majeure events (natural disaster, war, government restrictions, pandemic, ect.)
Safety or logistical reasons
If the Parties cancel a tour you will receive a full refund, including your deposit, or the option to transfer your booking to another date at no extra charge.
If we cancel due to insufficient numbers, we may offer a private or modified version of the tour at adjusted prices.
Refund Exclusions:
No refunds will be given for:
Missed activities due to personal delays or illness
Early departure or no-shows
Travel interruptions caused by airlines, weather, or personal emergencies
Expenses incurred outside the tour package (flights, visas, insurance)
Travel Insurance Requirement:
Travel insurance is mandatory
It must cover trip cancellations, medical emergencies, evacuation, and lost baggage
Proof of insurance is required at least two (2) weeks before departure.
Force Majeure:
We are not liable for delays, changes, or cancellations due to events beyond our control, including but not limited to:
Acts of God
Government actions
Natural disasters
Political unrest
Pandemics or health emergencies
In such cases we will endeavour to reschedule your tour to provide a partial refund, minus any unrecoverable costs.
Refund Processing Time:
Refunds (if applicable) will be processed within fourteen (14) business days of receiving your cancellation notice.
Refunds are issued to the original payment method used unless agreed otherwise.
4. Customer Privacy policy
Vibe Van Adventure Tours/Jeffrey’s Bay Adventures shall take all reasonable steps to protect the personal information of users. For the purpose of this clause, “personal information” shall be defined as detailed in the Promotion of Access to Information Act 2 of 2000 (PAIA). 5. Payment options accepted
Payment may be made via Visa and MasterCard.
6. Card acquiring and security
Card transactions will be acquired for Untouched Adventures via PayGate (Pty) Ltd who are the approved payment gateway for all South African Acquiring Banks. PayGate uses the strictest form of encryption, namely Secure Socket Layer 3 (SSL3) and no Card details are stored on the website. Users may go to www.paygate.co.za to view their security certificate and security policy.
7. Customer details separate from card details
Customer details will be stored by Vibe Van Adventure Tours/Jeffrey’s Bay Adventures separately from card details which are entered by the client on PayGate’s secure site. For more detail on PayGate refer to www.paygate.co.za.
8. Merchant Outlet country and transaction currency
The merchant outlet country at the time of presenting payment options to the cardholder is South Africa. Transaction currency is South African Rand (ZAR).
9. Responsibility
Vibe Van Adventure Tours/Jeffrey’s Bay Adventures takes responsibility for all aspects relating to the transaction including sale of goods and services sold on this website, customer service and support, dispute resolution and delivery of goods.
10. Country of domicile This website is governed by the laws of South Africa and Vibe Van Adventure Tours/Jeffrey’s Bay Adventures chooses as its domicilium citandi et executandi for all purposes under this agreement, whether in respect of court process, notice, or other documents or communication of whatsoever nature.
11. Variation
Vibe Van Adventure Tours/Jeffrey’s Bay Adventures may, in its sole discretion, change this agreement or any part thereof at any time without notice
